At Sentrya, LLC ("Sentrya"), we are committed to protecting the privacy of our users (the "Business") and their customers ("End-Customers"). This policy explains how we collect, use, and safeguard information through our AI-powered SaaS platform.
1. Information We Collect
We collect data to provide automated answering services and accurate billing:
Business Account Data: Email addresses, business names, trade types (e.g., HVAC, Plumbing), and physical addresses.
Lead and Call Data: When an AI agent answers a call, we collect the caller's name, phone number, issue description, and preferred service time.
Recording and Transcripts: We capture and store audio recordings and full text transcripts of every AI-handled call to provide summaries and lead management.
Usage and Billing Metrics: Call SIDs, duration in seconds, and billable minutes are tracked for Stripe integration and usage-based invoicing.
2. How We Use Your Information
We utilize the collected data for the following purposes:
Service Delivery: To facilitate real-time AI conversations and capture structured leads.
Lead Management: To populate the Business's dashboard with searchable lead information and call logs.
Billing Accuracy: To calculate monthly subscription fees and metered overages via Stripe.
Platform Administration: To monitor platform-level growth trends and total usage across all companies.
3. Data Sharing and Third-Party Integrations
To provide our services, we share specific data fragments with third-party providers via secure APIs and abstraction layers:
Telephony: Twilio processes inbound calls and SMS notifications.
AI Processing: Call audio is processed by ElevenLabs (TTS/STT) and OpenAI (LLM) to generate speech and transcripts.
Workflow Automation: n8n may be used to route data between the AI providers and the Bubble database.
Payments: Stripe handles all subscription and metered billing data.
Email: SendGrid is used to deliver real-time notifications and system alerts.
4. Data Isolation and Security
Sentrya is built on a multi-tenant architecture:
Isolation: Every company's data—including leads, transcripts, and settings—is strictly isolated. No user or tenant account can access or view another company's information.
Admin Access: Platform-level access is restricted to authorized Sentrya administrators for the purpose of managing the SaaS environment .
Storage: Data is securely stored within the Bubble.io database environment and, where applicable, AWS and Pinecone for advanced knowledge retrieval.
5. Data Retention and Rights
Lead Retention: Businesses can view and manage their leads through the dashboard until they choose to delete their account.
User Rights: Account owners can update business info, change notification settings, and manage team member access at any time.
6. Changes to This Policy
We may update this Privacy Policy to reflect changes in our AI architecture or service offerings. Users will be notified of significant changes via the email address associated with their account.
